The records management program promotes the ongoing management of the college's records as mandated by state regulations. It is essential to the administration of the college that its records are systematically managed to ensure the availability of information to both the college community and the public. The mission of Monroe Community College's Archives and Records Management program is to encourage and coordinate the systematic management of the records of the college in accordance with legal requirements. It provides a systematic, cost-effective approach to the management of all records created, received, and maintained by the college, and ensures that those records determined to be of enduring value are preserved and made available for research.
The Monroe Community College inactive records and micrographic service is located in Room 32-720 of the Downtown Campus. The telephone number is (585) 685-6426 (or ext. 6246 from on campus).
The College Archives is located off the administrative suite on the 4th floor of the LeRoy V. Good Library at the Brighton Campus and is available to researchers by appointment only.
MCC, as a component of local government, is mandated to follow the retention periods set forth in Local Government Schedule: LGS-1. The Local Government Schedule: LGS-1 was introduced by the New York State Archives on August 1st, 2020, and was adopted by Monroe County in October 2020.
As of December 31st, 2020 the previously followed retention guidelines in the Records Retention and Disposition Schedule C0-2, for use by Counties, revised 2006 will expire and will no longer be valid.
The Local Government Schedule: LGS-1 is now fully digital and searchable via the above link. The "Community College" section covers records exclusive to a community college. Records of a more common nature (fiscal, personnel, etc.) are located within their own individual titled sections. The webpage is fully keyword searchable by using the "Search Schedule" section.
